Coordinator

  • Sign in to the console — The console is where orders, the board and timesheets live. Sign in with the email and password the office set up for you.
  • Review an order email — A client has emailed asking for people. The system has read the email; you check what it read, fix anything it could not, and accept. Nothing is made until you accept.
  • Make a new job order — For an order that came by phone or text. (An emailed order goes through Emails in instead.) The same checks as an email: the client, where it goes, and each line.
  • Offer work to the shortlist — Every order line has a shortlist the moment it exists: who can do it, best first, and who is withheld and why. Offer it to more people than you need; saying yes places nobody.
  • Fill an order from the board — People who said yes to an offer are in the pool on the right. Saying yes places nobody: you choose who goes where, then tell them.
  • Sight a licence and assign — Some workers' high-risk licences are on record without their class. They can still be offered the work; before you place them, look at their card and sight it.
  • Change or cancel an order line — When the client changes their order. Everyone offered the work or placed on it is told on their phone, and every change is recorded.
  • Approve timesheets — Workers record their hours on the phone each day. You check each day and approve it, or send it back with a reason the worker sees.

Payroll (owners and administrators)

  • Load a week from FastTrack — Each Monday, after FastTrack has interpreted last week, load its two exports. The system prices the same week itself and compares every line.
  • Read the week's summary — After a load, the summary says how much of FastTrack's pay the system matched, and why the rest differs.
  • Check a timesheet day by day — When a timesheet differs, see each day's lines from FastTrack beside the system's, and why they differ.
  • Export the differences — To work through the differences in a spreadsheet, or send them on, export what the screen shows.

Owner (setting up the company)

  • Add office staff in one go — When new coordinators start, add them all at once: one line each — name, email, role. Each gets an invitation to choose a password.

Worker (the phone app)

  • Sign in by mobile — Open the link the office texted you (it ends in /crew). The first time, you sign in with your mobile number and a code sent to it by text. No password to remember.
  • Add the app to your home screen (iPhone) — Open the link the office texted you (it ends in /crew) in Safari. Then keep the app on your home screen, so it opens like any other app.

  • Accept an offer — When the office has work for you, it shows under Work with the client, the site, the dates and the shift. Saying yes puts your hand up; the office then tells you if you have it.
  • Check your schedule — Schedule shows the work you have confirmed: where, when and on which shift. Nothing pencilled in shows here.
  • Enter your hours and allowances — At the end of each shift, put in your hours, tick any allowance you are owed, and have your supervisor sign on the phone.
  • Hours with no signal — No signal at the end of a shift? Put your hours in anyway. They are kept on your phone, nothing is lost, and you send them with one tap when you have signal.
  • Confirm your licence class — If the office has your high-risk licence without its class, Tickets asks "Which class is this licence?". Send a photo of the card and say which class it is.
  • Send a photo of a ticket — When you get a new ticket or renew one, send a photo of it from the phone. The office checks it before it counts.
  • Mark days you can't work — Away is a calendar of the days you can't work. The office sees them before offering you anything.
